Take Control: Scalable NetSuite Customer Statement Generation

Background

NetSuite offers options to generate customer statements. In this article, I will assume you are satisfied with the statement outputs. In this article, I discuss some of the customer statement challenges in handling 1,000s of customers. NetSuite provides a bulk tool to print statements. However, the tool can be difficult to use primarily because of the limit to handle only one hundred (100) customers at-a-time due to the way the page navigator works. NetSuite’s page navigator forces the user to page-by-page select customers and then print and save. Why can’t you simply select all the customers in one shot?

NetSuite’s provided tool can be cumbersome and error-prone if you have anything over a few hundred customers with open balances. For accounting departments that have significant accounts receivable concerns over a large number of customers, they need more powerful tools.

Take Control Over NetSuite Customer Statement Generation

We helped a client take control over the situation by building a custom NetSuite Customer Statement Generator suitelet. In this application, the client wanted two major modes of operation:

1. Print Outputs: select all customers and generate consolidated PDFs in one shot. Here, we elected to gather the customers selected and run a background job to email the final results to a selectable email address versus forcing the user to wait for the results to draw on the screen. The idea is to click one or two buttons and walk away; the results will show up in the email inbox. From there, it’s simple to manage the resulting PDF to take it to the printer.
2. Email Outputs: select all the desired customers and generate an email to targeted email addresses. Here, we embellished the customer record to allow for multiple email addresses (versus NetSuite’s single email address) so that we can send it to the desired customer recipients. Again, with a job running in the background, you can click once and move on to other matters.

To make the process run in a controllable fashion, we take care of remembering the last time you generated a statement. Thus, by storing the date that the generator was run on the customer record, you can use it as selection criteria to only find customers that have not received a statement since a specific date.
