Learn How to Eliminate Royalty Tracking Spreadsheet Inefficiencies with a NetSuite-Based Engine

Errors creep in, often undetected until they hit the financial statements or worse, during a royalty audit.  The lack of real-time visibility makes it difficult to know your true exposure. Reconciliations become time-consuming projects. And the process begins to rely on the tribal knowledge of a few team members, which creates key-person risk.

NetSuite Royalty Tracking Can Be Automated, Accurate, and Scalable

This eliminates fragmented documentation and ensures any team member can quickly find and understand the applicable rules for a given partner.
  • Flexible Rate Cards and Tracking Logic: At the heart of the system are configurable components like Rate Cards and Obligation Tracking Records. These let you define exactly how royalties should be calculated—by item, class, department, subsidiary, or any other relevant attribute. Rate Cards are flexible and can support flat, tiered, or dynamic calculations. Clients are not locked into a rigid formula structure; the engine molds to the business model.
  • Support for Advanced Accounting Treatments: Real-world royalty agreements include quirks like prepayments, quarterly minimums, and post-termination sell-off periods. The engine addresses all of these with logic that’s mapped directly to the specific and desired General Ledger structure. Examples include:
    • Prepayment accounting: Debits a prepaid asset and reduces it as obligations accrue.
    • Minimums: Tracks required minimums and creates adjusting entries when actuals fall short.
    • Sell-off logic: Maintains obligation tracking after contract end dates, in line with legal terms.
  • Streamlined Reconciliation and Payables Creation: When period-end comes, the solution lets the accounting group reconcile actual versus expected royalty amounts with a click of a button. The application calculates obligations across all contracts, compares against prepayments or minimums, and generates the appropriate vendor bills or credits for payment processing.  With high confidence, what used to take days is now done in minutes.
  • Powerful Reporting and Audit Support: With pre-built NetSuite reports and the power of the NetSuite database, management gains clear visibility into:
    • Royalty obligations by partner, period, and product line
    • Minimum vs. actual comparisons
    • Cumulative balances and settlement history
