Alternative to NetSuite CPQ: An Adaptable Subscription-Free Configurator

This article is relevant if you need configuration capability in NetSuite that rivals CPQ performance while preserving control and avoiding recurring subscription costs to capture complex product logic, scale operations, and retain ownership of refinements.

TL;DR Summary

While NetSuite CPQ follows the Configure–Price–Quote model and is a capable add-on, its ongoing subscription costs increase the total cost of ownership.  Our firm delivers a tailored configurator built inside NetSuite that uses our Prolecto Questionnaire Accelerator Template and the Prolecto Extensible Client Framework to guide users through dependency-driven choices and dynamically generate work orders without needing standard BOMs or any ongoing license fees. Background

In our 2019 “NetSuite Order Configurator Design and Development Review,” we demonstrated how the NetSuite platform powers a fully bespoke order configurator, leveraging point-and-click customization, SuiteScript, and workflows to model item attributes, valid option relationships, and manufacturing-ready configurations, delivering a lean yet potent CPQ alternative

Then in the 2022 “A High Performance Alternative to NetSuite’s Configure Price Quote (CPQ) Add-On” we pushed further, crafting a multi-party, job-based quoting engine that orchestrates Configs and Sub-Configs, intelligently handles parties, site locations, free-form item definitions, price-level logic, expiration rules, and rule-driven order generation.  That solution sought to avoid auto-creating items in the database until we had a customer commitment,

We’ve done it again, this time with an architecture designed for continuous expansion, allowing us to layer in new logic, option sets, and logic without disrupting the core, keeping the configurator adaptable as business models, product lines, and selling strategies evolve.   The tools and thinking illustrate our firm’s ability to build out tailored solutions that avoid ongoing subscription fees.

Prolecto Configurator 2025

Configurators are specialized systems that guide users to valid combinations for assembled, manufactured, or bundled goods. You see this pattern in computers, furniture, and, in our client example, high-end lighting fixtures.

In 2022, NetSuite acquired the Verenia CPQ tool. CPQ stands for Configure, Price, and Quote. First, you configure options, then determine price, and finally produce a quote. The software is only part of the challenge; the real work is the analysis and modeling required to structure the product database so the engine can operate. Once live, teams must maintain product data to keep configurations valid. The subscription fees add a material annual cost. Our client evaluated NetSuite CPQ and determined that a Prolecto-built configurator would deliver the required capability, eliminate license fees, and provide complete control. This aligns with our Prolecto LABs approach, where Accelerator templates jump-start solutions tailored to exact requirements.

NetSuite Configurators and CPQ: What Managers Need to Weigh

Executives and managers care about throughput, margin, error reduction, and speed to revenue. Configurators directly influence each of these. Here is how to evaluate these options while addressing the technical realities that an analyst must manage:

  1. Operational Throughput: A configurator shortens the time from request to order release. Dependency-aware prompts prevent rework and handoffs. In lighting, the ceiling suspension choice may constrain finish and electrical options; removing invalid branches accelerates order creation and scheduling.
  2. Quality and Rework: Most configuration errors originate in ambiguous choices or with hidden incompatibilities. A guided flow that only exposes valid next steps reduces scrap, returns, and change orders. Quantity multipliers that depend on attributes (for example, extra supports given a specific suspension) are applied consistently.  We get it righ the first time.
  3. Sales Velocity and Customer Experience: Faster quoting and fewer back-and-forth interactions shorten sales cycles. Whether your users are internal sales, dealers, or end customers, a precise sequence of questions increases confidence and conversion.   4. Cost Structure and Ownership: NetSuite CPQ offers integrated configuration, pricing, and quoting with a subscription cost. A license-free configurator built within NetSuite reduces ongoing fees and keeps logic all in your control. For many firms, the larger investment is not software; it is the analysis and modeling. Once modeled, your organization should own and evolve it without friction.
  5. Implementation Reality: The intellectual lift is the same regardless of platform: define your finished goods universe, map dependencies, and maintain your data. The question becomes where you want that logic to live and how much you pay for it over time. The Prolecto approach helps organizations invest once, and then iterate without subscription overhead.

A License-Free, Tailored Configurator in NetSuite

We model NetSuite Assembly Items as the base for configurations and use a Work Order to hold all selected options required for production.  The central move is to understand the finished goods space and codify how choices constrain one another. Our Questionnaire Accelerator draws on any NetSuite data to present intelligent questions and record answers. Logic determines valid branches, sets quantities where attributes require factors, and captures everything needed to produce the sales order and the work order.

We pair this with our Extensible Client Framework, another Accelerator Template, in React.js to deliver a fast, modern UI that is not limited by native NetSuite screens. In our client’s case highlighted here, the price was already defined on items; the configurator focused on selecting the correct components. Once components are accurate, it is straightforward to extend with pricing logic as a separate dimension if needed.

We dynamically generate the work order and all options without setting up standard BOMs. The questionnaire logic acts as a bill of material builder that is specific to each order. Responses are stored and can be recalled and edited, which naturally supports change orders and controlled revisions.

  1. We are corruently implementing NetSuite CPQ but I am disappointed with it’s complexity and apparent issues with getting basic data into a template. Also there are questions on the accessibility of the outputted proposals.

    Out sales process is Opportunity based, can you solution be tailored to be opportunity based? Also is it possible to generate accessible proposals out of this?
