Quick NetSuite Tip: Drill Down in Summary Searches

This article is relevant if you are seeking to better understand how NetSuite Saved Searches work with Drill Down.

Background

On a recent engagement with one of our consultants, we were developing a saved search to hook up as a sublist on a custom NetSuite form.   We were speaking about how to display the data and link to detail information.  To my surprise, during the discussion, our very capable consultant didn’t realize that NetSuite Saved Summary Searches support a drill-down ability.     I speculated that if one our consultants didn’t realize how NetSuite Saved Search Drill-Down feature works, then there may be a good chance the general NetSuite community may not as well.

How to Define Drill Down on NetSuite Saved Search

The capacity is well documented in NetSuite Help and I am providing a reference here for your quick reading.  Basically, start with a NetSuite Saved Search with the detailed results you want when you drill down.  Then, only summarize the fields you want to display in your summary report.  See image for an example.

NetSuite will first draw the results in Summary form.  It will offer up hyperlinks on fields that you can drill down.  As you do, the search results are filtered by the link that you clicked on.

NetSuite Drill Down Filters Hold One Criteria Element

If you have multiple summary elements that you have grouped by, then you have, in essence, narrowed the summary row respecting each summarized column.  Perfectly good.  However, when you click through one of the links to drill down, only one summary element becomes the filter criteria for the detail sheet and other row element filters are lost.  This may not be what you expect.     Since we have little control over this, if Saved Search Drill down is important to you, I suggest limiting your Group Summaries to one column so the drill-down filter results are as expected.

    Hi Marty,

    I am building a search that uses a text formula as the “Group”. On the summary page I do not have the ability to drill down to the detail. This appears to be because I the grouped field is a text formula? Is there a work around?

    Formula (text): NVL({name}, {vendor.entityid})

    When I can’t drill down to what I want native, I then have to construct my own URLs. It takes some inspection to determine how to drive to the ultimate search you want. Remember, you can link out to a different search as well. It’s trial and error. Wish it was easier.

    Hi Tim, Can you explain how to use the URL option to solve the drill down for formulas, I am wanting it to link to a different search.
